Our policies on order cancellations, returns, replacements, and refunds for custom manufacturing orders.

Important Notice for Custom Manufacturing

All garments manufactured by Drift Minds are custom-made to order. This means every item is produced specifically based on your approved design, fabric selection, sizing, and branding requirements. Due to the custom nature of our products, our refund and return policies differ from standard retail policies. Please read this policy carefully before placing your order.

1 Scope & Applicability

This Refund & Return Policy ("Policy") applies to all orders placed with Drift Minds for custom manufactured apparel, including but not limited to T-shirts, Polo T-shirts, Hoodies, Sweatshirts, and Caps. This policy covers:

  • Bulk manufacturing orders (MOQ starting from 100 pieces)
  • Sample orders and pilot runs
  • Custom branded merchandise for institutions, colleges, corporates, and startups
  • Re-orders and repeat orders

By placing an order with Drift Minds, you acknowledge that you have read, understood, and agree to the terms of this Policy. This Policy should be read in conjunction with our Terms of Service.

2 Order Cancellation

Since all orders are custom manufactured, cancellation policies depend on the stage of production:

Note: Cancellation requests must be submitted in writing via email to driftminds.official@gmail.com. Verbal or WhatsApp cancellation requests are not considered official and must be followed up with an email confirmation.

3 Sample Orders

Drift Minds offers paid samples as part of the pre-production process. Our sample policy:

Sample Cost

Sample charges are communicated upfront and are typically higher than per-unit bulk pricing due to the overhead of single-piece production.

Sample Cost Adjustment

Sample charges are adjusted against the final bulk order when the client proceeds with production. This adjustment is applicable only on orders placed within 30 days of sample approval.

No Refund on Samples

Sample charges are non-refundable if the client chooses not to proceed with the bulk order. The sample garment itself belongs to the client.

Sample Revisions

One round of minor revisions to the sample (e.g., color adjustment, sizing tweak) may be accommodated at no extra cost. Additional revisions or entirely new samples will incur separate charges.

4 Quality Defects & Returns

Drift Minds is committed to delivering premium-quality garments. We conduct multi-stage quality checks during production. However, in the rare event that defective items are received, the following applies:

4.1 What Qualifies as a Defect

Fabric tears, holes, or visible damage
Significant color deviation from the approved sample
Incorrect print/embroidery design or placement
Sizing outside ยฑ1 inch tolerance from the agreed size chart
Wrong fabric type or GSM (more than ยฑ10 GSM deviation)
Stitching defects (loose threads, open seams, uneven hemming)

4.2 What Does NOT Qualify as a Defect

Minor variations in color shade (ยฑ5% from Pantone reference โ€“ natural in bulk dyeing)
Slight size variations within ยฑ0.5 inch tolerance
Fabric texture variations that are natural to the chosen material
Damage caused by improper handling, washing, or storage after delivery

5 Return Conditions

Returns are accepted only under the following conditions:

  • Reporting Window: Defects must be reported within 48 hours of delivery receipt, along with photographic/video evidence of the defect
  • Documentation Required: Clear photos showing the defect, the order invoice number, and a written description of the issue must be emailed to driftminds.official@gmail.com
  • Inspection: Drift Minds will inspect the reported defect (via photos or by requesting physical return) and determine eligibility within 3โ€“5 business days
  • Unused & Unwashed: Returned garments must be in their original, unwashed, unworn condition with all tags intact
  • Original Packaging: Items should be returned in the original packaging or equivalent protective packaging
  • Defect Threshold: For bulk orders, if more than 5% of the total quantity is found to be defective, the entire batch may be eligible for return or rework

6 Non-Returnable Items

The following items are not eligible for return or refund under any circumstances:

  • Garments that have been worn, washed, altered, or damaged after delivery
  • Orders where the client approved the sample and the bulk production matches the approved sample within acceptable tolerances
  • Items where the defect was caused by incorrect design files, artwork, or specifications provided by the client
  • Orders where the client did not opt for a pre-production sample and the production was based solely on written specifications
  • Accessories (caps, packaging materials) with minor variations in shade or finish
  • Orders reported after the 48-hour reporting window

7 Refund Process & Timeline

Once a return or defect claim is approved, refunds are processed as follows:

Claim Submission

Submit your claim with evidence via email within 48 hours of delivery.

Review & Assessment

Our quality team reviews the claim within 3โ€“5 business days. Physical inspection may be required for high-value orders.

Resolution Decision

We offer one of the following: full/partial refund, replacement of defective units, or credit towards next order.

Refund Processing

Approved refunds are processed within 7โ€“15 business days via the original payment method (bank transfer / UPI).

8 Replacement Policy

In many cases, we prefer to offer replacements rather than refunds, as it ensures you receive the product you originally ordered:

  • Defective Units: We will replace defective units at no additional cost, including shipping. Replacement production typically takes 7โ€“10 business days.
  • Incorrect Sizes: If the wrong sizes were produced (not matching the agreed size chart), affected pieces will be replaced free of charge.
  • Print/Embroidery Errors: If the print or embroidery does not match the approved artwork, we will re-produce the affected pieces.
  • Return Shipping: For approved claims, Drift Minds will arrange and bear the cost of return shipping of defective goods (within India).

9 Shipping Damages

If your order arrives with visible shipping damage:

  • Document Immediately: Take photos/videos of the damaged packaging and garments at the time of delivery, preferably in front of the delivery person
  • Report Within 24 Hours: Notify us within 24 hours of delivery with the photographic evidence
  • Do Not Discard Packaging: Retain the original packaging as it may be needed for the insurance claim with the logistics partner
  • Resolution: We will coordinate with the logistics partner to process a claim and either replace the damaged goods or issue a refund

Tip: We recommend recording a video while unboxing your order. This helps expedite claims in case of any shipping damage.

10 Bulk Order Special Terms

For large bulk orders (500+ pieces), the following additional terms apply:

  • Pre-Production Sample Mandatory: For orders exceeding 500 pieces, we strongly recommend (and may require) a pre-production sample to be approved before bulk production begins. Proceeding without sample approval limits refund eligibility.
  • Quality Tolerance: Industry-standard quality tolerance of up to 2% defective pieces is considered acceptable in bulk manufacturing. Claims below this threshold are handled through replacement of individual defective units.
  • Partial Acceptance: Clients may accept non-defective portions of the order and return only the defective units. Refunds or replacements will apply only to the defective units.
  • Inspection Before Dispatch: For orders exceeding โ‚น2,00,000 in value, clients may request an on-site or video inspection of the finished goods before dispatch at no additional charge.
  • Overrun/Underrun: Bulk production may result in ยฑ3% quantity variation (overrun or underrun) from the ordered quantity. This is standard in the garment manufacturing industry and billing will be adjusted accordingly.

11 Dispute Resolution

We strive to resolve all claims amicably. If you are not satisfied with our initial resolution:

  1. Internal Escalation: Request escalation to the Drift Minds management team by emailing driftminds.official@gmail.com with the subject line "ESCALATION โ€“ [Order ID]"
  2. Mediation: Both parties agree to attempt mediation before pursuing legal action
  3. Jurisdiction: All disputes shall be subject to the exclusive jurisdiction of the courts in Patna, Bihar, India
  4. Governing Law: This Policy is governed by and construed in accordance with the laws of India, including the Consumer Protection Act, 2019 and the Indian Contract Act, 1872
